Who we are

Groundwork Maths is a brand name of Rethink Maths Limited (company number 16482315), registered at Ground Floor Radley House, Richardshaw Road, Leeds, England, LS28 6LE. Rethink Maths Limited is the data controller for the purposes of UK data protection law.

Rethink Maths Limited is registered with the Information Commissioner's Office, reference ZC142952.

When we say "we" or "us" in this policy, we mean Rethink Maths Limited.

This policy covers the Groundwork Maths website (groundworkmaths.com), our free diagnostic assessment and tools, our free webinars, and buying our Phase Packs. The terms you agree to when you buy from us are set out separately on our Terms and Conditions of Sale page, and how we use cookies is set out on our Cookies page.

The information we collect

We do not ask you to create an account, and there is no login anywhere on the site.

When you buy Phase Packs, we collect the buyer's name, email address and role; your school's name, postcode and (where available) its URN; and the delivery address for your order. If you pay by invoice, we also collect a billing or finance email address and, if you give one, a purchase order number. Payments are handled by our payment processor, so we do not see or store your full card details.

Where you select a listed school, these school details come from our school lookup, which uses publicly available information about schools in England. If your school is not listed, we use the details you give us.

If you choose to give us your email address when using our free diagnostic assessment and tools, or when asking us about support, we collect your email address and any optional marketing consent you give.

When you email us, we use your email address and the contents of your message only to reply to you and deal with your enquiry.

When you use the site, we may also process basic technical information such as your IP address, browser type, timestamps and request logs. We use this to keep the site secure, prevent abuse, diagnose errors and run the service.

We use cookieless analytics to understand basic site usage. This does not use advertising or tracking cookies, and we do not use it to identify individual visitors. See our Cookies page for the full position.

Booking a webinar place

When you book a place at one of our free webinars, you register directly with Zoom, the service we use to host them. Zoom's registration form collects your first name, last name and email address; we do not collect or store these details on this website.

We use your registration details to run the webinar you booked: Zoom sends your joining link and confirmation and reminder emails for your session, and we can see the list of registrants for each session. We also record registrants' details on our internal tracker so we can administer the webinar, respond to any questions and, after the session, send you any links or resources referred to during the webinar. Our lawful basis is our legitimate interest in running the events you ask to attend. Registering for a webinar does not mean you have opted in to marketing. We will only send you marketing if you have separately opted in.

Zoom hosts our webinar registration and processes these details to provide that service. Zoom retains registration information in accordance with its privacy policy and the settings applying to our Zoom account.

Ordering a free sample

When you order a free printed sample through our website, we collect your first and last name, your role, your email address and the school you choose from the Get Information about Schools (GIAS) register. We take the school's postal address from that register, not from you, and we record which page of our website you came from, so we can see which parts of the site lead to requests.

We use these details to review your request and, if we approve it, to post the sample to your school and email you a confirmation. Our lawful basis is our legitimate interest in providing the sample you asked for. Each request is checked by a member of our team before anything is posted, and we normally send one sample per school. Ordering a sample does not mean you have opted in to marketing: we will only send you marketing emails if you tick the box on the form, and you can unsubscribe at any time. If you do tick it, we record the wording you saw at the time so we can show what you agreed to.

We keep a record of each request for 12 months after we have posted the sample or decided not to. After that we remove your name, role and email address from the record and keep only the school, the outcome and the dates, which no longer identify you. Where you opted in to marketing, we keep your contact details until you unsubscribe, separately from the sample record, so withdrawing your marketing consent does not remove the record of your request and removing the request does not affect your marketing preferences.

If your school is not in the GIAS register, is outside England, or the address we hold for it is wrong, the form asks you to email us instead. We handle those emails in the same way as any other enquiry, and we may record the request in the same way so that the one-sample-per-school check still works.

The form is protected by Cloudflare Turnstile, which checks that a request comes from a person rather than an automated script. Turnstile processes technical information about your browser and connection for that purpose, under Cloudflare's privacy policy. When you send the form, our server asks Cloudflare to confirm the check and receives the result: whether it passed, the address of the page it was completed on, which form it was for, when it was completed and, if it failed, an error code. We use that response only to decide whether to accept your request and we do not store it. Turnstile does not set cookies for tracking on our site.

Why we use it, and our lawful basis

We only use your information for the reasons set out below.

To process and deliver your order, and to handle the invoicing and support connected to it. Our lawful basis is performance of a contract with you, or taking steps to enter into one.

To answer your enquiries and to run and support the site. Our lawful basis is our legitimate interest in supporting our customers and running the service.

To send you service emails, such as your order confirmation, a dispatch notification, or an acknowledgement of an enquiry. These are necessary to provide the service you have asked for, so they are not marketing and you cannot opt out of them while you are dealing with us.

To send you marketing, but only if you have opted in. At present we only send the service emails described above. If we introduce marketing emails in future, for example occasional product updates, we will only send them to people who have opted in, and every one will include an unsubscribe link. Our lawful basis is your consent, which you can withdraw at any time.

We do not sell your data, and we do not share it for advertising.

Who we share it with

We use a small number of trusted service providers to run Groundwork Maths, for example to take payments, host the website, store our order records, send our emails, deliver your orders, and keep the site secure. They only process your data on our instructions, and we have data protection agreements in place with each of them. A full list of these providers is available on request by emailing hello@groundworkmaths.com.

We will share your information with others only where we are required to by law.

Where your data is held

Our order records are stored in the UK, and most of our providers process data in the UK or EU. Some providers, such as those that process payments and help protect and deliver the site, operate globally. Where data is processed outside the UK or EU, it is protected by appropriate safeguards such as Standard Contractual Clauses.

How long we keep it

We keep order and payment records for as long as we need them to provide and support your order, and for as long as we are required to keep them for tax and accounting purposes, normally around six years. We keep enquiry emails only for as long as reasonably necessary to deal with your query and maintain our records. We keep webinar registrants' details on our internal tracker on the same basis — only for as long as reasonably necessary to administer the webinar and maintain our records; how long Zoom retains registration information is covered in the webinar section above. Where you have opted in to marketing, we keep your contact details until you unsubscribe.

Your rights

You have rights under data protection law, including the right to ask for access to your personal data, and to request correction or deletion where applicable. You can also object to certain processing and, where we rely on consent, withdraw it at any time. Depending on the circumstances, you may also have the right to restrict how we use your data, or to ask for a copy of it in a portable format.

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office (ico.org.uk).

Children

Groundwork Maths is sold to schools and adults, and the site is not aimed at children. We do not knowingly collect personal data from children, and we do not collect pupils' personal data through this website.

Changes to this policy

We may update this policy from time to time. If we make a significant change, we will update this page and the "last updated" date above.
